Promotion & Work Requests
General Faculty & Staff News
All faculty and staff are encouraged to email COSSPP Comms Director Rebecca Sage rebecca.sage@fsu.edu with updates about top publications, research, awards, grants, service involvement, media mentions, and other achievements.
If your unit is participating in COSSPP’s Communications Internship Program, ensure you email both your Communications Assocate and COSSPP Comms Director.
Ideal Project Timelines
To ensure quality, accuracy, and adequate promotion time, please follow the planning timelines below when requesting Communications support.
- Standard events or announcements:
- Submit at least 4 weeks in advance.
- (Approximately 2 weeks for content/design development and 2 weeks for promotion.)
- Larger initiatives or multi-asset projects:
- Allow 8–10 work weeks.
- (Examples: conferences, swag, campaign materials, major web updates.)
- Major anniversaries, fundraising initiatives, or milestone campaigns:
- Begin planning several months to one year in advance.

Urgent requests require unit head approval and cannot be guaranteed.

Events & Deadlines for Promotion
COSSPP Communications can help promote college- and unit-level events, student opportunities, application deadlines, and academic programming that align with college priorities.

Monthly Newsletter
We publish a monthly newsletter to highlight the achievements of COSSPP faculty, staff, and students. Finalized content must be submitted by the 15th of the prior month. For details and deadlines, review the COSSPP Style Guide:bit.ly/COSSPPstyleguide.

Our team develops Student Spotlights and Alumni Spotlights that highlight a variety of accomplishments across our community.

Research Spotlights
Faculty can submit research for promotion through this 15-minute Research Spotlight Form. Include any FSU faculty or student co-authors.
COSSPP Faculty & Staff Support Opportunities
Ongoing Coordination for all COSSPP faculty and staff involved in communications/graphics work:
Faculty and staff involved in communications or graphic design for their units should connect with our team each semester to align efforts and access resources. We’re hosting workshops this semester to provide design instruction and connect faculty and staff with resources.
Please encourage COSSPP faculty and staff to attend one or all of our upcoming ‘Canva Enterprise + Comm Network’ meetings this spring. Each one will be held in Bellamy in the Turnbull Conference Room (BEL 105 B).

Professional Photos
COSSPP faculty and staff are encouraged to get an updated professional photo with us each fall and spring semester at the Ground Floor Studio (Bellamy 042).

Students, faculty, and staff have access to FSU Career Center’s Professional Photobooth, which is an excellent on-demand resource.
Note: Interested department chairs and directors should contact Rebecca Sage (rebecca.sage@fsu.edu) to schedule a unit photo day.
COSSPP Communications Internship Program
- Provides additional communications support while training undergraduate and graduate students.
- Requires units to fund a student position (OPS, GA, Intern) and contribute to program costs (negotiated upon entry).
- Directors/Chairs must provide strategic input and oversight while ensuring faculty/staff follow communications policies.
- Email rebecca.sage@fsu.edu to discuss participation—subject to resource availability.

Info for Student Groups & FSU Collaborators
We send a monthly newsletter (reaching 5,000+ active majors, faculty, and staff through direct mailing, as well as providing an archive for campus partners and prospective students) as close as we can to the 1st of the month to bring them the best from what’s happening around the College and University.
Florida State University’s Registered Student Organizations (RSOs) and FSU units that have programming of interest to social sciences and public policy students are encouraged to share information with COSSPP’s Communications Team and with students using the following avenues.
Monthly Newsletter
The college sends a Monthly Newsletter each fall and spring to all students with an active major in the college, as well as to faculty and staff. Members of our FSU community who would like to access our newsletters can find them here: cosspp.fsu.edu/get-connected.
To have your event included, email full event details (see list below) to cosspp-comm@fsu.edu by the 15th of the current month for inclusion in the next month’s issue.
Required details: headline, date, time, location, registration information (if applicable), links, short description of event (1-2 sentences min), and graphic (3×2: 1800 x 1200 px).

Social Media

COSSPP TVs
Air time on COSSPP TVs is not guaranteed, as the primary function is for the college and departments to promote programming to students, faculty, and staff.
Content requirements:
- Please ensure all relevant info is included:
- Date, time, location
- Written URL links with QR code(s) for easy access
- COSSPP units should follow guidelines in COSSPP’s Style Guide presentation to ensure FSU Brand compliance (bit.ly/COSSPPstyleguide).
Submissions:
- Bellamy TVs (First Floor Atrium & Dean’s Office):
- Horizontal TV slides must be designed to be 1920 x 1080 px and submitted as JPGs or PNG files to rebecca.sage@fsu.edu.
- Pepper Center Building (PCB) First Floor TV:
- Vertical TV slides must be designed to be 2160px wide, 3840px tall, with a margin of 120 px from the border of the slide to the text and logos. Submit them to both rebecca.sage@fsu.edu and fac23d@fsu.edu.

Bellamy Posting Boards
Please hang your flyers on the posting boards around Bellamy conscientiously. Don’t cover up others’ flyers, take down old postings, and keep things looking neat and tidy so viewers can see your information. Bring your own push pins or use those that are there. Staples are not permitted because they damage the board.
