Our COSSPP Communications Team is here to help faculty and staff with promotional needs. Below are key resources and guidelines to ensure smooth collaboration.

Key Resources for Faculty and Staff

Style Guide & Resources PowerPoint: Bookmark COSSPP Style Guide for FSU branding updates, college logos, letterheads, PowerPoint templates, and promotional guidelines. Updates include FSU’s rebranding and best practices for working with our team (e.g., 4 weeks’ notice for events).

SharePoint Site: Access event photos, faculty/staff headshots, logos, templates, and business resources. (Continually updated!) https://fsu.sharepoint.com/sites/cosspp/COSSPP-COMM/SitePages/Home.aspx

Canva Enterprise: Use the College’s Canva Enterprise team (loaded with our COSSPP branding materials and templates). Review details about using the team here, and request to join by submitting your FSUID/email here.

Promotion & Work Requests

Events & Deadlines

Submit requests via COSSPP Promo Request Form or you can preview the questions here and email responses to rebecca.sage@fsu.edu.

Project Timelines To ensure timely support for any projects, follow this guidance when submitting content, either via bit.ly/COSSPPpromo or email answers to these questions to rebecca.sage@fsu.edu

  • Standard events: Submit requests ≥4 weeks in advance This allows 2 weeks to complete work and 2 full weeks for event or opportunity promotion. 
  • Larger projects & initiatives: Submit 8–10 work weeks in advance This includes conference materials, swag, and other materials that must be created. 
  • Major projects & anniversaries: Start planning and communicating months – 1 year Things like unit anniversaries should be planned months to a year in advance – and all details should be decided by your events team before engaging our team in your work. 
    • Additionally, if you’re celebrating an anniversary, you should loop our development team into your plans. Contact COSSPP Assistant Dean for Development Katherine Cline Ashler at kcline@advance.fsu.edu
  • Urgent requests must have unit head approval, with the director Cc’d on emailed requests. Service completion depends on the Communications Team’s workload and isn’t guaranteed, even with higher-level approvals. Urgent/expedited requests require unit head approval (CC them in your email to rebecca.sage@fsu.edu).

If you lack complete details, submit what you can and send updates as they become available, but understand this impacts our ability to provide services by your deadline.

Faculty & Staff News

Email rebecca.sage@fsu.edu with updates on publications, research, awards, grants, service involvement, media mentions, and other achievements.

Student & Alumni Features

Nominate and invite outstanding students/alumni for a COSSPP feature via bit.ly/COSSPPspotlight. If you know of a graduate with a notable accomplishment, invite them to complete the survey or email details to rebecca.sage@fsu.edu.

Research Spotlights

Faculty can submit research for promotion through this 15-minute Research Spotlight Form. Include any FSU faculty or student co-authors.

Monthly Newsletter

We send a monthly newsletter (reaching 5,000+ active majors, faculty and staff through direct mailing, as well as providing an archive for campus partners and prospective students) as close as we can to the 1st of the month to bring them the best from what’s happening around the College and University.

Submit finalzied content by the 15th of the current month for inclusion in the next month’s issue.. NOTE, if you’re relying on our team to create graphics and promote your event through all of our available channels, these requests need to be in to us 4 weeks before the event date or deadline per the instructions above.

Required details: headline, date, time, location, details, links, and headshot or graphic if it’s for a lecture. Content from COSSPP Promo Requests will be included if final materials are ready by deadline. Find an archive of past newsletters here.

COSSPP Faculty & Staff Support Opportunities

Ongoing Coordination for faculty and staff involved in communications/graphics work: 

Faculty and staff involved in communications or graphic design for their units should connect with our team each semester to align efforts and access resources. We’re hosting workshops this semester to connect your team with our resources and provide support. Please have faculty and staff attend one or all of the following ‘Canva Enterprise + Comm Network” fall meetings:

  • Wed., 9/3 | 10:30–11:30 a.m. | DeVoe L. Moore Conference Room (BEL 150 E)

COSSPP faculty and staff are encouraged to get an updated professional photo with us this semester:

  • COSSPP Fall Photo Day 2: Tues., 10/7 | 10–11:30 a.m. & 12 p.m.–4 p.m. | BEL 042

COSSPP Communications Internship Program

  • Provides additional communications support while training undergraduate and graduate students.
  • Requires units to fund a student position (OPS, GA, Intern) and contribute to program costs (negotiated upon entry).
  • Directors/Chairs must provide strategic input and oversight while ensuring faculty/staff follow communications policies.
  • Email rebecca.sage@fsu.edu to discuss participation—subject to resource availability.

Info for Student Groups & FSU Collaborators

Florida State University’s Registered Student Organizations (RSOs) and FSU units that have programming of interest to social sciences and public policy students are encouraged to share information with COSSPP’s Communications Team and with students using the following avenues.

Student Monthly Newsletter

The college sends a Monthly Newsletter each fall and spring to all students with an active major in the college, as well as to faculty and staff. Members of our FSU community who would like to access our newsletters can find them here: cosspp.fsu.edu/get-connected.

To have your event included, email full event details (see list below) to cosspp-comm@fsu.edu by the 15th of the current month for inclusion in the next month’s issue.

Social Media

Tag @FSUCOSSPP on social media to help us see your important announcements and events. Please also tag our academic departments, centers, and institutes, as appropriate. For a listing, visit: cosspp.fsu.edu/get-involved.

Bellamy TVs

Air time on Bellamy TVs is not guaranteed as the primary function is for the college and departments to promote programming to students, faculty, and staff. TV slides must be designed to be 1920x1080px and submitted as JPGs to rebecca.sage@fsu.edu. Please ensure all relevant info is included [date, time, location, and links with QR code(s), along with URLs when possible, for easy access].

Bellamy Posting Boards

Please hang your flyers on the posting boards around Bellamy conscientiously. Don’t cover up others’ flyers, take down old postings, and keep things looking neat and tidy so viewers can see your information. Bring your own push pins or use those that are there. Staples are not permitted because they damage the board.

Promoting Collaborative Events with the College

If you are collaborating with Tonja Guilford or Elizabeth Jones in the Dean’s Office for your event, please email the following details to rebecca.sage@fsu.edu two weeks prior to your event (at the latest) so that it can be advertised properly:

  • 1-2 sentences describing the event (what will attendees experience)
  • Canva links to the promotional graphics in the following sizes that all include event date, time location (and way to register if necessary) – ensure designs are shared with cosspp-comm@fsu.edu in Canva first:
    • Square (1:1): 1080 x 1080 px
    • TV slide (16:9): 1920 x 1080 px
      (TV slide size should include a QR code if registration is required)
    • Web (2:3): 1800 x 1200 px
    • Instagram (4:5): 1080 x 1350 px
  • All other relevant details
    • If you are hosting an alumni panel, the names of each panelist, their title, their company
    • If tickets are limited
    • If there’s a deadline
